Step 1: Read the message twice

If this is a question you have answered before, start from your saved template. Adapt rather than rewrite.

Step 3: Draft with an assistant

If there is no template, paste the message into an assistant with a short brief on tone and the answer you want to give. Ask for a polite, plain reply.

Step 4: Edit for warmth

AI replies can sound flat. Add the small human touches that match how you actually speak. Cut anything that sounds like a script.

Step 5: Save the best ones

When a reply works well, save it. Over time you build a small library of templates that handle most of your inbox.
